How to fill out a timesheet

  1. Write your name, your employer and the pay period at the top, and the day your workweek begins.
  2. Each day, write the time you start, the start and end of your unpaid lunch, and the time you stop.
  3. Total each day: time worked minus lunch. Add the days for the week total.
  4. Hours over 40 in one workweek are overtime. Count them week by week, even on a biweekly or monthly sheet.
  5. Sign, have your supervisor sign, and keep a copy.

Want the totals worked out for you? Type the same times into the time card calculator: it adds the week, the overtime and the pay.

Frequently asked questions

Is there a free printable timesheet?

Yes. This page has a weekly, a biweekly and a monthly timesheet, free, with no sign-up and no watermark. Pick one, add the first day of the pay period if you want the dates filled in, and print it or save it as a PDF from the print dialog.

How do I fill out a timesheet?

Write the time you start, the time your unpaid lunch starts and ends, and the time you stop, for every day you work. The day's total is the time worked minus the lunch. Add the days for the week total: hours over 40 in a workweek are overtime under the FLSA.

How long do employers have to keep timesheets?

At least 2 years from the last entry for time cards and timesheets with daily start and stop times (29 CFR 516.6), and at least 3 years for payroll records (29 CFR 516.5). Some states ask for longer.

Can I round the times on my timesheet?

Federal rules accept rounding to the nearest 5 minutes, tenth of an hour or quarter hour, as long as it averages out over time and employees are paid for all the time they actually work (29 CFR 785.48). Writing the exact times is the safest record.

Does a biweekly timesheet count overtime over 80 hours?

No. Overtime is counted per workweek, not per pay period: 50 hours one week and 30 the next is 10 hours of overtime, even though the two weeks add up to 80. That is why the biweekly sheet has a total for each week.

Should I record short breaks on my timesheet?

No. Rest breaks of 5 to 20 minutes are hours worked under the FLSA and stay inside your time. Only record a bona fide meal period, usually 30 minutes or more, completely off duty, as lunch.
